Thank you for your interest in supporting the School District of Clayton by volunteering! Our schools thrive with the help of dedicated parents and community members like you.
Student Safety is Our Priority
The safety and well-being of our students—both physical and emotional—are our top priorities. To ensure a secure environment, the District requires training and background checks for volunteers who may have close or unsupervised contact with students. This policy aligns with our commitment to student safety, just as all school employees undergo thorough background checks before being hired.
Who Needs a Background Check?
Volunteers who meet any of the following criteria must complete the full background check process, which includes reviewing our volunteer expectations training, submitting an enrollment form, registering with the Family Care Safety Registry, and completing fingerprinting. The District will also conduct a National Sex Offender Registry check.
- Interacting with students in the classroom (excluding events like class parties or teacher-supervised activities).
- Regular and ongoing volunteering (e.g., library assistance, classroom support).
- Chaperoning off-campus activities (e.g., field trips).
- Mentoring or tutoring students.
- Working in the school office (clerical tasks).
- Leading a before/after-school enrichment club.
New vs. Returning Volunteers
- New Volunteers (First-Time Applicants): You must complete all steps of the background check process before volunteering.
- Returning Volunteers (Previously Background Checked Within the Last 5 Years): You only need to submit a new volunteer enrollment form each school year to remain an approved volunteer.
Confidentiality & Processing
If your background check raises any questions, we will contact you for a confidential discussion. Each situation is reviewed individually, and a flagged result does not necessarily mean disqualification. All background check records are securely stored in the Human Resources office and will be shredded at the end of each school year.
Please note that new volunteers starting at the beginning of the school year may experience delays in retrieving their Family Care Safety Registry results due to processing times.

Below is a checklist and description of the training and forms you must complete before volunteering:
□ Training - Review Volunteer Expectations Information – Once you have reviewed the Volunteer Expectations Information, you then must complete the enrollment form.
□ Allergy Policy – Review the District Allergy Policy
□ Enrollment Form – Complete and submit this form to any school or the District Administration Office. You only need to complete the enrollment form once if you are volunteering at multiple schools.Family Care Safety Registry Registration Process- Please complete this portion of the background check first, as this is the background check process that takes the longest to clear.
